Candidate experience is part of hiring quality. A strong candidate can leave an unclear or slow process before you ever assess them properly.
Tell candidates what they need to know
At each stage, explain:
- What stage they are entering.
- What they need to do.
- How long it should take.
- When it must be completed.
- Whether AI is used.
- What is recorded or analyzed.
- Who is responsible for the decision.
- How to request support or an accommodation.
- When they should expect an update.
Minimum communication sequence
- Application received.
- Screening invitation with instructions.
- Reminder before the deadline.
- Submission confirmation.
- Progress update.
- Invitation to the next stage or respectful closure.
- Final outcome communication.
If the process is delayed, send a short update. Silence creates a poor candidate experience even when the delay has a reasonable explanation.
